How the callers work
All three callers are the same person to your leads: Mia, calling on behalf of Villarreal Group at Keller Williams. She never books an appointment. Every lead she qualifies goes straight to a live agent while they are still on the phone.
Calling windows
All times Eastern. No caller dials outside these hours, and the three daily attempts always fall inside them.

You wrote "three attempts back to back at three different times a day". We have read that as three attempts inside the same day, one per slot, rather than three consecutive redials. Section 09 asks you to confirm.
What Mia asks
Five topics, one question per turn, in a conversation rather than as a list. She waits for the answer before moving on.
- Motivation and area. What is driving the move right now, then which areas they are looking at.
- Timeline. When they would ideally like to be in the new place.
- Price range. What range feels comfortable. If they will not give a number she asks whether a lender's pre-approval would set the ceiling, and moves on either way.
- Financing. Whether they have spoken to a lender or have a pre-approval. If not, she says that is normal at this stage and offers to have the team line one up.
- Current home. Whether they own a home they would need to sell as part of the move, and whether they would want help selling it.
When she transfers
The threshold is strong motivation, a timeline and a budget, where a price range or a pre-approval amount stands in for the budget. She judges the three together rather than scoring them, and a pre-approval is a plus rather than a requirement: a motivated buyer without one still gets a live conversation, because the team can line up a lender. A lead who asks for a person twice gets transferred regardless of the threshold.
On objections she acknowledges first, then asks one open question. She never argues and never closes a vague answer down. If somebody says they are not sure, or maybe, or to call later, she asks which part they are least sure about instead of accepting it as a no, and she never ends with "let us know when you are back in the market". That was your explicit correction of the previous bot and it is written into all three prompts.
What she never does
- Never books an appointment or offers a calendar slot. Qualified leads are a live transfer, always.
- Never quotes an interest rate, a commission, a listing price or a home valuation, and never estimates one.
- No legal or tax advice, and no opinion on what a buyer agreement means. Those go to an agent.
- Never claims to be a person. Asked directly, she says she is an AI assistant with the team, and carries on.
- Never argues with a stop-calling request. She acknowledges, ends the call, and the number is suppressed.
- Never interferes with another agent's client, and never comments on the agent they are working with.
- No politics and no religion, in line with your brief.
- Never leaves a voicemail on the first or second attempt of the day, only on the third.
How the transfer rings the open line
Mia transfers to one number and one number only. That number is ours, and what happens behind it is the routing layer, not the caller.
- All seven ring at once. Sergio Carrasco, Daniela Figueredo, Samiel Febrillets, Flavio Valladares, Joseph Bretones, German Orellana and Angel Fuentes. Whoever answers first gets the lead and the other six stop ringing.
- Thirty seconds with nobody answering. The call falls back to Angel Fuentes alone, for another thirty seconds.
- If Angel misses it too. The lead hears a short message saying the agents are with clients right now and somebody will call back on this number, then the call ends. No time window is promised, because nobody can guarantee one.
- The promise is backed. That message creates a same-day callback task for Angel in Follow Up Boss, quoting exactly what the lead was told, so the follow-through does not depend on anyone remembering.
Any agent can be paused, which takes them out of the ring group on the next call with no technical change. If everybody is paused the call goes straight to the fallback, and if Angel is paused too the apology message plays immediately.
How leads are excluded

The Cesar pond. Leads showing under "Lead Opportunity (Cesar Villarreal)" are treated as team leads, not as Cesar's personal book. They are called, and when they qualify they go to the open line rather than to Cesar, exactly as you described it: most of the team cannot see them, but they still need working.
What happens after the call
- Every call writes a note into Follow Up Boss, including no-answers, so there is a record that the AI tried and what came back.
- Two outcomes create a task for a human: the lead asked for a callback, and the lead qualified but was not transferred.
- A stop-calling request writes the do-not-call tag on the record and adds the number to the suppression list.
- Writes are duplicate-proof. A retried delivery never produces two notes or two tasks for the same call.

A caller cannot place a call without a phone number, and the account is yours to open. As soon as the numbers exist we run the first test calls with Angel on your own mobiles, before a single lead is dialled, and this section becomes a form where anyone on your team can request a test call and hear Mia for themselves.
Team and routing
The roster below is the list you submitted on September 3. Two flags drive behaviour: whether an agent is on the live-transfer open line, and whether they appear on your Zillow Preferred list.

Phone numbers and email addresses are deliberately not published here. This page is reachable by anyone who has the link. We hold the contact details in the delivery configuration, not on a public page.
The pause switch
You asked for no per-agent lead caps and a switch for time off, and that is what is built. An agent who is off is marked paused. From the next call onwards they are skipped in the simultaneous ring, and their turn simply does not exist rather than ringing out. Unpausing is the same one-step change in the other direction. No calendars are involved anywhere in the system, by your instruction.
The roster holds twenty-six names. You told us thirty agents today and fifty within six months. We have built against the twenty-six we actually have and have not invented the other four. Section 09 asks Angel for the missing names, or for confirmation that twenty-six is current.
Follow-up matrix
Your cadence, running automatically off the Follow Up Boss stage. Every touch also creates a task for the assigned agent, so the automation supports the agent rather than replacing them.

You wrote the To Follow Up cadence as gaps between touches, "1, 3, 3, 7", which lands on days 1, 4, 7 and 14. To Nurture as "7, 7, 15" lands on days 7, 14 and 29. Stage names follow your correction: To Prequalify is now Met with customer.
Rules that apply to the whole matrix
- Text and email go out between 8 am and 9 pm Eastern. A touch that falls due outside the window waits for the window to open rather than arriving at midnight.
- Appointment reminders are the one exception to the window, because a reminder that arrives late is worthless.
- When a lead's stage changes, every pending touch for that lead is cancelled and replaced with the new stage's schedule. Nobody receives a stale nurture text the day after they set an appointment.
- Every message ends on an open question. That is your correction of the previous bot, applied to the written copy as well as to the calls.
- Merge fields that come back empty render as nothing, never as a visible placeholder.
One open gap, flagged rather than hidden. A lead who replies to one of these texts does not currently stop the cadence by itself. We would rather you know that than find it out later. The decision is yours: stop the cadence on any reply, stop it only when the AI texter takes the conversation over, or leave it running. We will build whichever you pick.
The approved texts
Tone is warm, professional and consultative, with no hype and nothing pushy. Every text is under three hundred characters. Open a stage to read the exact wording.

The timing on the Closed touch is our proposal, since you did not specify one. It combines the congratulations and the referral ask in a single message, as you described it. If you would rather split them into two touches, say so and we will.
SMS Salesperson
The same Mia, working by text. She covers both sides you asked for: replies to the reactivation sequences, and inbound texts arriving cold on your numbers.
Scope
- Answers a reply to any drip message, with the message the lead replied to in front of her, so she does not restart the conversation from zero.
- Answers an inbound text that arrives without any campaign behind it.
- Qualifies by text using the same five topics as the calls, one question at a time.
- Never re-asks something the lead has already answered in the thread.
- Texts stay under three hundred and twenty characters, with no links and no emoji, and a lead is never texted twice about the same question inside an hour.
Hours
Texts go out between 8 am and 9 pm Eastern. Your form said to engage whenever the inflow comes in, which we have read as promptly rather than around the clock: a text arriving at 2 am gets answered when the window opens, not at 2:04 am. Anything older than thirty-six hours is deliberately left rather than answered, because a reply to a two-day-old message reads worse than silence. Section 09 asks you to confirm the window.
Opt-out
An opt-out is honoured immediately, permanently, and ahead of every other rule, including outside texting hours. STOP, unsubscribe, cancel, remove me and any equivalent phrasing all count. The lead gets one confirmation text and nothing after it, the number goes on the suppression list, and the do-not-call tag is written in Follow Up Boss. This is treated as a compliance stop rather than a preference.
The handoff
You chose an AI call with live transfer as the qualified handoff, and that is what happens. Once a lead is qualified and has confirmed in writing that they can take a call, Mia triggers the call, and that call transfers to the open line exactly as described in section 02.
Before the call is placed, a set of checks runs. Excluded source, do-not-call, already called today, daily attempt cap, outside the calling window. If any of them blocks the call, Mia does not drop the lead and does not tell them why. She creates a task for an agent with the context, so a human picks it up.
A2P 10DLC is the gate on text messaging. US carriers require every business sending texts from a local number to be registered, with your legal entity, your tax ID, your opt-in flow and sample messages. Twilio files the submission and approval usually takes one to three weeks, which is outside anyone's control once it is in. Text messaging cannot go live before approval. The voice callers do not depend on it and can go live while registration is pending.
Weekly report
One email, every Monday at 8 am Eastern, covering the week before. It reports on what the callers produce, so it goes live after they do.

On appointments set. You told us there are no agent calendars, so there is no booking event anywhere in the system to count. The report therefore counts a pipeline stage change and attributes it to the AI only when the AI transferred that lead in the previous seven days. That is an attribution window, not a calendar reading, and it will under-count rather than over-claim. The report says so on every send, so nobody reads it as something it is not. If a week has no transfer activity, the report says exactly that instead of showing a zero that looks like a failure.

The order matters. Each step de-risks the next, and nothing touches a real lead until the step before it has been watched working.
